StayLedger is provided by The Rennez, Nairobi, Kenya ("we", "us"). These terms are an agreement between us and the business that opens a StayLedger workspace ("you"), and everyone you invite to it.
StayLedger is online software for hospitality consultants: a CRM for hotel guests and leads, email, SMS and WhatsApp campaigns, quotes, enquiry forms, commission invoices and accounts. We may improve, change or remove features. We will tell you in advance about changes that take away something you rely on.
You must give accurate details and be at least 18 and able to bind your business. Keep passwords private and turn on two-step sign-in for anyone handling money. You are responsible for what happens under your workspace, including the access you give your team and hotel partners.
A new workspace starts with a free trial. After it ends you need a paid plan or a licence key to keep making changes. Prices are shown in StayLedger under Billing and include VAT where it applies.
Payments go through Paystack (M-Pesa, card or bank). A subscription runs for the month or year you paid for and does not renew automatically: we remind you before it ends. When it ends you have 7 days' grace, after which the workspace becomes read-only. You can still view and export your data.
Payments are not refundable for time already started, except where Kenyan consumer law requires a refund or we have charged you in error. Codes and discounts apply only as described when they are issued.
Everything you put into StayLedger stays yours: hotels, contacts, bookings, messages, files and accounts. You decide why and how guest personal data is used, so under the Data Protection Act, 2019 you are the data controller and we are your data processor. We process that data only to run StayLedger for you, on your instructions, and under our Privacy Policy.
You confirm that you have a lawful basis to hold the guest data you import, and consent where the law requires it before sending marketing. StayLedger records consent and unsubscribes to help you, but compliance is your responsibility.
You must not use StayLedger to:
Some features depend on providers you connect or that we use: Paystack for payments, your email provider or Gmail, Africa's Talking for SMS, Meta for WhatsApp, and our hosting provider. Their terms apply to your use of them, and we are not responsible for their outages or decisions.
We aim to keep StayLedger available at all times and take daily backups, but we cannot promise it will never be interrupted. We will try to give notice of planned maintenance. Keep your own exports of anything critical.
StayLedger is provided with reasonable skill and care. To the extent the law allows, we are not liable for lost profits, lost bookings or indirect losses, and our total liability in any 12 months is limited to what you paid us in that period. Nothing here limits liability that cannot be limited under Kenyan law.
You can stop using StayLedger at any time and ask us to delete your workspace. We may suspend a workspace that breaks these terms, puts others at risk or is not paid for, and will tell you why unless the law prevents it. After a subscription ends we keep your data for at least 90 days so you can come back or export it, and may then delete it after warning you by email.
We may update these terms. If a change is significant we will tell workspace owners by email or in the app at least 14 days before it takes effect. Continuing to use StayLedger after that means you accept the new terms.
These terms are governed by the laws of Kenya. We will first try to settle any dispute by talking. If that fails, the courts of Kenya have jurisdiction.
